Every service truck carries parts and consumables — for a residential HVAC operator, that might include contactors, capacitors, refrigerant, brazing supplies, thermostats, filters and common valves. For a plumber, hundreds of fittings, valves, pipe and fixtures. For an electrician, wire, breakers, receptacles and fixtures. Truck-stock inventory on a typical residential service truck routinely runs into the low-to-mid five figures, and multiplied across multiple trucks, it becomes the operator's largest working capital line. Discipline on truck-level reconciliation, replenishment, shrinkage tracking and cycle counting is what separates professional trades operators from ones that lose real money to inventory drift.
Effective billed-hour (billable technician hours vs total on-clock hours) is the single most important productivity KPI in trades service work. Mature residential service operations target 70–80 percent effective billed-hour rates. Newer operations, or ones with dispatch discipline issues, routinely run at 50–60 percent — meaning the operator is paying a full day of labor for half a day of billable output. The gap shows up nowhere in generic bookkeeping and generic bookkeepers don't measure it. Callback rate — the percentage of jobs that require a follow-up return visit within warranty — is the quality and profitability KPI that pairs with billed hour. A high-callback technician destroying warranty margin by returning for the same job twice or three times might look busy but is quietly bleeding gross margin. Tracking callback rate by technician, job type and trending is core operational finance work.
Warranty accrual is a specialized area of trades accounting that generic accountants routinely miss. HVAC and appliance installers carry both manufacturer warranty (parts recovery from Lennox, Carrier, Trane, Goodman, York, Rheem, Bosch, Napoleon on defective components — the manufacturer reimburses the parts cost, the contractor typically eats the labor) and company workmanship warranty (typically 1–2 years on labor for installations, absorbed by the contractor).
